Part 5: CHECK-IN AND CHECK-OUTS

Once you have mastered the art of check-in and check-outs not only will you stop picking up the tab for your tenants’ blue tack, tea stains and iron marks. The standard to which your properties are maintained will remain significantly higher, providing a higher level of competition in your local market.

The process of mastering the art of check-in and outs starts as early as your tenancy agreement. It is important to detail in here what is and what is not chargeable, details of how this will be audited and presented, the legal framework to support it and the process against which this will be enforced.

Once you have this, the next step is to establish the most effective process and order of proceedings to complete your check in, check out and how this tied into your other processes including applications, referencing, check in, archiving tenant files, check out, remedial works, dressing and marketing. There are many different options here and we have tried most of them! Some are far more effective than others.

Thankfully, whereas in 2011 we used paper and in 2012 we moved on to audit based applications; there are now a wealth of inventory apps and audits available with a range of complexities, budgets and functions most of which are cloud based and can be used on many devices and tablets.

Having trialled many of these over the years we now work closely with a platform that provide primarily single let inventories, however with the Multi-Let check-in and check-out audit, every one of our nearly 1,000 rooms’ portfolio is custom stored on the  cloud to include all the specifics such as en-suites, desks, lamp shades etc. Not only this, the photos are presented in such a way that it is very hard to dispute damages and the format is compliant and supported by the DPS and other deposit agencies.

Check-ins and outs are not a formality for the sake of looking professional, they are the key to ensuring you keep the standard of your portfolio high and the cost between tenancies low as opposed to the opposite which is not very lucrative at all in comparison.
